Terms & Conditions

1. Reservations & Booking Confirmation

All reservations at Shan at Uley are subject to availability at the time of booking.

A booking is considered confirmed only after receiving the required advance payment and written confirmation from Shan at Uley by email, WhatsApp, or official communication.

Tentative bookings may be released without prior notice if the advance payment is not received within the agreed time.

2. Payment Policy

A 50% advance payment is required to confirm the booking.

The remaining balance must be paid 30 days before arrival.

Any bank charges, transfer fees, or currency conversion charges must be borne by the guest or booking agent.

Extra bills during the stay, including add-ons, beverages, guides, porters, activities, transport upgrades, or personal expenses, must be settled before departure.

3. Rates & Taxes

All rates are subject to the tariff shared at the time of booking.

Taxes, including GST, will be charged as applicable unless clearly mentioned as included in the quotation.

Rates may vary depending on season, room category, occupancy, meal plan, package, and special arrangements.

4. Meal Plans

AP - American Plan: Includes breakfast, lunch, and dinner.

MAP - Modified American Plan: Includes breakfast and dinner.

Any meals, beverages, packed meals, outdoor lunches, or special experiences not included in the confirmed package will be charged separately.

5. Extra Bed & Child Policy

Extra bed is charged at 40% of the applicable room tariff.

Children aged 8-12 years, not requiring an extra mattress, will be charged 20% of the applicable room tariff.

Children below the chargeable age may stay complimentary when sharing the existing bed with parents, unless otherwise mentioned in the quotation.

Child policy may vary for special packages, group bookings, or agent rates.

6. Cancellation Policy

Cancellations made 120 days or more before arrival will receive an 80% refund.

Cancellations made 60 days or more before arrival will incur a 50% retention fee.

Cancellations made 30 days or less before arrival will be 100% retained.

No refund will be provided for no-shows, late arrivals, early departures, or unused services.

Refunds, where applicable, will be processed after deducting any bank charges or transaction fees.

7. Date Changes & Amendments

Any request to change travel dates, room category, number of guests, meal plan, or itinerary is subject to availability.

Date changes may be treated as cancellations if requested close to the arrival date or during peak season.

Any additional cost due to changes in room category, transport, activities, taxes, or services must be paid by the guest.

8. Check-In & Check-Out

Check-in and check-out timings will be shared at the time of booking.

Early check-in and late check-out are subject to availability and may be chargeable.

Guests are requested to inform us in advance about arrival and departure timings.

9. High Altitude & Health Responsibility

Shan at Uley is located at high altitude in Ladakh. Guests are advised to acclimatise properly before travelling to Uley, especially during winter or for wildlife expeditions.

We strongly recommend spending at least two nights in Leh before arriving in Uley.

Guests are responsible for assessing their own medical fitness before travel. Those with heart conditions, breathing issues, blood pressure concerns, or other medical conditions should consult a doctor before visiting.

Travel and medical insurance, including emergency evacuation coverage, is strongly recommended.

10. Weather, Road & Travel Conditions

Ladakh is a remote high-altitude region, and travel may be affected by weather, snowfall, roadblocks, landslides, flight delays, government restrictions, or other conditions beyond our control.

Shan at Uley will assist wherever possible, but we are not responsible for delays, cancellations, additional nights, missed flights, or extra costs caused by such circumstances.

Any additional accommodation, meals, transport, or services required due to delays will be charged separately.

11. Wildlife & Experience Disclaimer

Shan at Uley offers wildlife-based and nature-based experiences. While our team and spotters make every effort to provide meaningful wildlife viewing, sightings of snow leopards or any other wildlife cannot be guaranteed.

Wildlife movements depend on weather, season, terrain, animal behaviour, and natural conditions.

Guests are expected to follow the instructions of guides, spotters, naturalists, and lodge staff during all wildlife walks, treks, drives, and outdoor experiences.

12. Safety During Activities

Activities such as wildlife walks, cycling, trekking, outdoor meals, snow leopard tracking, and village walks involve natural terrain and some physical movement.

Guests must participate responsibly and inform the team in advance of any health condition, injury, dietary restriction, or mobility concern.

Shan at Uley reserves the right to modify, postpone, or cancel any activity if weather, safety, road, or wildlife conditions require it.

13. Connectivity & Electricity

Mobile network is limited in Uley. BSNL may work intermittently, while other networks may not be available in the valley.

Wi-Fi is available at the lodge but may be affected by weather, usage, or technical conditions.

Electricity is available with backup support, but guests are advised to carry power banks and necessary adapters.

14. Food & Dietary Requirements

Meals at Shan at Uley are home-cooked and prepared with local produce wherever possible.

Vegetarian and non-vegetarian meals are available. Beef and pork are not served.

Guests must inform us in advance about allergies, dietary restrictions, vegan requirements, gluten-free meals, lactose intolerance, or any special food needs.

We will do our best to accommodate dietary requests, but some ingredients may not be available in remote areas.

15. Guest Conduct

Guests are expected to respect local culture, village life, wildlife, staff, other guests, and the natural environment.

Smoking is not allowed inside rooms or common indoor areas.

Guests should avoid littering, loud noise, disturbing wildlife, or entering village homes, fields, or private areas without permission.

Any damage caused to lodge property, rooms, equipment, vehicles, or outdoor gear may be charged to the guest.

16. Responsible Travel

Shan at Uley is rooted in local community, conservation, and responsible tourism.

Guests are requested to use water carefully, avoid single-use plastic where possible, respect wildlife distance, and follow the guidance of the team during outdoor experiences.

Feeding, calling, chasing, or disturbing wildlife is strictly not allowed.

17. Personal Belongings

Guests are responsible for their personal belongings, valuables, camera gear, documents, and electronic items.

Shan at Uley is not responsible for loss, theft, or damage to personal belongings unless caused by proven negligence of the lodge.

Guests are advised to keep important items, medicines, documents, batteries, and electronics safely protected from cold, dust, and weather.

18. Identification & Permits

Guests may be required to provide valid government-issued identification at check-in.

For certain travel routes, wildlife areas, or restricted zones in Ladakh, permits may be required. Permit requirements and costs will be shared where applicable.

Guests are responsible for providing accurate details required for permits, hotel records, and local regulations.

19. Force Majeure

Shan at Uley shall not be liable for failure to provide services due to events beyond our control, including natural disasters, extreme weather, road closures, flight cancellations, strikes, government restrictions, illness outbreaks, political disturbances, or any other unforeseen circumstances.

In such cases, we will try to offer the best possible alternative, but refunds or compensation may not be possible.
